Ad-hoc on account
Individual bookings through the year — airport runs for visiting staff, client movements, a car for a site audit — placed by whoever needs one and settled on a single reconciled monthly invoice instead of forty expense claims.
Monthly retainers with the rates printed, ad-hoc employee cabs on one invoice, and straight answers on the two things every Chennai HR and finance team asks about: the night-shift transport obligation for women employees, and whether the GST can be claimed.
In short
A dedicated chauffeur-driven car in Chennai on a 26-day, 10 hr / 250 km-per-day retainer runs ₹42,000 – 55,000 a month for a sedan, ₹58,000 – 72,000 for an Innova and ₹75,000 – 95,000 for an Innova Crysta. Driver overtime is ₹150 – 250 an hour, extra kilometres at the vehicle's per-km rate, and outstation days carry bata on top.

Twenty-six days, ten hours and 250 kilometres a day, one vehicle and one driver assigned to you. Every competitor page we examined in this market routes this question to a phone number. Here it is instead.

A vehicle and a driver assigned to your office for 26 days at 10 hours and 250 kilometres a day, priced in the table above. The usual choice for a resident director, a site office or a facilities team.
Scheduled home pickups and drops for shift teams, with route rosters, GPS on every vehicle and escorts where the roster requires them. Built around the Tamil Nadu condition set out below.
This is the part of the conversation that decides most Chennai employee-transport contracts, and it is almost entirely absent from competitor websites in this market.
Tamil Nadu permits shops and establishments to operate around the clock, and the notification that grants that permission attaches conditions. One of them is that the employer must provide transport facilities for women employees working night shifts. If your Chennai operation runs a night shift with women on it, employee transport is not a benefit you are choosing to offer — it is a condition of the permission under which the site is operating at that hour.
What that means practically for a transport contract: the roster has to be documented rather than improvised, the vehicles have to be traceable, the drivers have to be verified, and somebody has to answer the phone at 2 am when a car does not arrive. Those four things are the substance of what we sell on this product, and they are the four things an ad-hoc app booking structurally cannot provide — there is no roster, no named driver, no accountable coordinator and no record afterwards.
We do not offer legal advice and this page is not it. What we offer is a transport operation built to sit inside that obligation, and a written contract your compliance team can read.
The second question every finance team asks: can we claim the GST back?
The general rule under GST restricts input tax credit on passenger transport services. There is, however, an Authority for Advance Ruling decision holding that input tax credit is allowed on employee transport where that transport is mandatory — and the ruling's limit matters as much as its permission: it is confined to night-shift women employees, which is precisely the category the Tamil Nadu notification makes compulsory.
So the shape of the answer is: transport your business provides because the law requires it stands on materially different ground from transport it provides as a perk. An AAR ruling binds the applicant and is persuasive rather than universal, positions evolve, and your auditor's view governs — so take this as the question to put to them, not as our opinion on your return.
What we can do is make the claim easy to support: a monthly GST invoice from Winmaxi Holidays & Travels Pvt Ltd, reconciled against trip records, with night-shift rostered movements identifiable as such in the backup rather than mixed into one line. Ask for the reconciliation format at onboarding and we will set it up that way from the first invoice.
Competitor pages in this segment publish no SLA at all. We will not invent generic guarantees on a web page either — these are the clauses we write into an account contract, with the values agreed for your sites and volumes before you sign.
| Clause | Why it matters | How it is set |
|---|---|---|
| Response and arrival window | The only SLA line anyone actually measures | Agreed per site and per shift, written into the contract |
| Replacement vehicle | What happens when a car breaks down at 2 am | Standing arrangement, with the escalation path named |
| Escalation contact | A person, not a call centre queue | A named coordinator plus an out-of-hours number, in the contract |
| Driver verification | Police verification, licence and record checks | Standing policy on every driver we put on an account |
| GPS and vehicle tracking | Roster auditability and night-shift traceability | On every vehicle on a corporate roster |
| Invoicing and credit terms | Finance's actual pain point | Monthly reconciled GST invoice; credit terms agreed at onboarding |
| Rate protection | Prevents mid-contract re-quoting | Rates fixed for the contract period, revisions only at renewal |
Sites, shifts, headcount, vehicle classes and whether night-shift rosters are in scope. Half an hour, usually on the phone.
Vehicle allocation, monthly or ad-hoc structure, the rate table for your classes and the SLA clauses filled in with your values.
Service agreement, driver verification policy, insurance and GST registration details for your vendor-onboarding system.
We run the roster before it goes live where night shifts are involved, so the first 2 am pickup is not the first time the route has been driven.
Reconciled invoice each month, and a review of arrival performance and any escalations against the agreed clauses.
This page covers car-class employee transport — sedans, MUVs and tempo travellers up to 14+1, ad-hoc or on a monthly retainer. Fixed-route staff bus contracts, multi-vehicle route transport and school or college transport are a fleet-contract product handled by our bus division at chennaibusrentals.com. If your requirement spans both, tell us and we will bring them into the same conversation.
For a dedicated vehicle and driver on a 26-day month at 10 hours and 250 kilometres a day: ₹42,000 to ₹55,000 for a sedan, ₹58,000 to ₹72,000 for an Innova and ₹75,000 to ₹95,000 for an Innova Crysta. Driver overtime is ₹150 to ₹250 an hour and extra kilometres are billed at the vehicle's per-km rate.
Tamil Nadu permits shops and establishments to operate 24×7, and that permission is conditioned on the employer providing transport facilities for women employees working night shifts. In practice it means rostered, documented, traceable transport rather than ad-hoc app bookings — and somebody accountable who answers the phone at 2 am.
GST generally restricts input tax credit on passenger transport, but an Authority for Advance Ruling decision allows it where employee transport is mandatory — limited to night-shift women employees, exactly the category Tamil Nadu makes compulsory. Your auditor's view governs; we supply a monthly invoice showing the 5% GST as its own line with night-shift movements identifiable in the backup.
No. Ad-hoc bookings on account carry no commitment at all — you use the published rate card and settle on one reconciled monthly invoice instead of individual receipts. The 26-day monthly retainer is a commitment because a vehicle and a driver are assigned exclusively to you for that period.
You call the escalation number in your contract at 2 am and reach a person, not a queue. A replacement vehicle arrangement is a standing clause on rostered accounts, and the incident is recorded and reviewed against the agreed arrival window at the monthly review. That accountability, not the per-km rate, is the product.
Yes on vehicles running corporate rosters, which is what makes a night-shift roster auditable rather than merely promised. Drivers are police-verified before allocation, and the traveller receives the driver's name, mobile number and vehicle registration the evening before. The booking desk runs 6 am to 11 pm, with an out-of-hours escalation number on rostered accounts.
Yes, on the same account and the same monthly invoice. A pre-booked sedan from Chennai airport is ₹800 to ₹1,200 all-in to any city zone and an SUV or MUV ₹1,200 to ₹2,500, with a name board at arrivals and the flight tracked, so a delayed inbound is not a re-booking exercise for your travel desk.
Not from this site. We handle car-class employee transport up to 14+1 seats — sedans, MUVs and tempo travellers, ad-hoc or on a retainer. Fixed-route staff buses, multi-vehicle route contracts and school or college transport are handled by our bus division at chennaibusrentals.com.
Overtime beyond the contracted ten hours a day is ₹150 to ₹250 an hour and kilometres beyond 250 a day are billed at the vehicle's published per-km rate — ₹13 to ₹15 on a sedan, ₹20 to ₹23 on a Crysta. Outstation days carry driver bata on top, at the rate for that vehicle class.
Pickup, date, vehicle, passengers. A written all-in price on WhatsApp, usually inside 30 minutes, 6 am to 11 pm. No advance needed for a quote.
